Position: Programme Operations Associate

Duty Station: Street Child of Nepal’s office in Lalitpur (including frequent field visits)

Reports To: Operations Manager (Direct), Programmes Manager (Functional)

Contract Term: 1-year fixed term with possibility of extension

Working Hours: Full time from Monday to Friday 9:00 am - 5:00 pm

Salary Offer: NPR 36,933.33 gross monthly

1 ORGANIZATIONAL CONTEXT:

Street Child is a UK non-profit organization established in 2008 that aims to support children living in vulnerable settings to ensure they have access to education, including the estimated 260 million schoolage children worldwide who do not attend school. (UNESCO 2020).

Street Child works to ensure children are safe, in school, and learning - even, and especially, in low resource environments and emergencies. Street Child specializes in working with local level organizations for lasting impact. Since 2008, Street Child has supported 750,000+ children and 50,000+ caregivers across 20+ countries in Eastern Europe, South Asia, and Sub-Saharan Africa. Street Child is a dynamic and fastgrowing British NGO recognized for an agile, ambitious approach and has an annual programmatic portfolio of $28M across a range of conflict and crisis context.

Street Child is a fast-growing organization with the experience and capacity to rapidly scale up quality interventions in different contexts. From 2021 to 2024 we aim to reach one million children – while our national partners reach millions more. 3 OVERVIEW

Street Child of Nepal is seeking motivated young graduates, freshers, or individuals with a few years of experience who are eager to learn and develop their skills in Programme Operations within a development organization. This essential role involves supporting the organization’s programme, procurement, logistics, and administration functions. The selected candidate will manage the daily resources for our projects and will also be responsible for directly supervising cleaners, drivers, and guards.

4 KEY RESPONSIBILITIES

4.1 Programme Support [70%]

  • Support programme team in coordinating project activities, ensuring they align with established goals and timelines.
  • Maintain consistent communication with field teams to monitor progress, address challenges, and ensure smooth operations.
  • Facilitate collaboration across various organizational teams to ensure seamless and cohesive program execution.
  • Keep detailed, up-to-date records of all program activities, reports, and communications.
  • Ensure accurate documentation of program activities, capturing lessons learned and best practices for future reference.
  • Ensure that all program documentation adheres to both donor requirements and organizational standards.
  • Assist in preparing presentations, teaching and learning materials, and briefing materials for meetings with donors, partners, and stakeholders.
  • Coordinate with different departments to ensure that program timelines and deliverables are met efficiently.
  • Support the organization of logistics for training sessions, workshops, and other program-related events.
  • Assist in developing training materials and resources aimed at enhancing the capacity of program teams.
  • Provide administrative support to the program team, including scheduling meetings, preparing agendas, letters, invitations and taking minutes.

4.2 Procurement [10%]

  • Maintain regular communication with vendors and assist in negotiations, ensuring timely followups and updates to the vendor database.
  • Support the preparation of bid documents and coordinate the bidding process, including communication with suppliers and the evaluation team.
  • Collaborate with finance and project teams to align procurement activities with project budgets, track expenditures, and identify cost-saving opportunities.
  • Assist in implementing quality control measures for procured goods and services, conduct inspections, and address any quality issues with stakeholders.
  • Ensure accurate documentation of procurement activities, adherence to donor requirements and local laws, and prepare regular reports on procurement status and performance.

4.3 Logistics [10%]

  • Assist in planning and coordinating logistics by working with program teams to ensure timely transportation of goods and resources to project sites, aligning with project timelines.
  • Manage inventory and asset tracking by helping maintain and monitor the inventory of project supplies and equipment, ensuring accurate records and preventing shortages.
  • Support the organization of internal and external events, including venue bookings, catering, and related logistics.
  • Liaise with vendors and service providers to secure necessary services and ensure smooth logistical operations.
  • Maintain accurate documentation of all logistics-related transactions and activities, ensuring compliance with organizational policies.

4.4 HR & Administration [10%]

  • Assist with posting job openings, scheduling interviews, and organizing recruitment events.
  • Help prepare onboarding materials and ensure new employees have everything they need to start smoothly.
  • Maintain and update employee records, including personal information, attendance, and leave requests.
  • Support the coordination of training sessions by managing schedules, preparing materials, and collecting feedback.
  • Assist in preparing and filing HR documents, such as contracts, policy updates, and compliance forms.
  • Support day-to-day administrative tasks, including office management and general support services.
  • Ensure compliance with organizational policies, procedures, and legal requirements.
  • Help monitor and manage utilities to maintain uninterrupted office operations.
  • Assist in negotiating and coordinating service agreements with utility providers.
  • Support the implementation and monitoring of security protocols to protect staff and assets.

5 REQUIRED SKILLS/ABILITIES

  • Strong organizational and time management skills with attention to detail in handling tasks and documentation.
  • Good verbal and written communication skills, with the ability to interact effectively with internal teams and external stakeholders.
  • Basic understanding of donor funded programmes especially on education in emergency, project management, logistics coordination, procurement processes, and office management.
  • Proficiency in Microsoft Office Suite and ability to adapt to a dynamic, fast-paced work environment.
  • Proactive problem-solving skills and a commitment to ethical conduct and organizational values.

6 ELIGIBILITY CRITERIA

  • This position is open to Nepalese citizens only.
  • Female candidates and individuals from underrepresented regions are strongly encouraged to apply.
  • A Bachelor’s degree in Education, Social Science, Logistics and Supply Chain Management, Economics, Business Administration, Business Studies or a related field is required.
  • Additional professional certificates from recognized bodies in programme management, education, procurement, logistics, or administration are advantageous.
