Job Description of Procurement and Logistic Assistant

Key Position Information

Job Title: Procurement and Logistics Assistant

Position Reports To: Direct Reporting: Admin and Finance officer

Position Location: RDC Nepal, Gaur Office Rautahat with 50% field works

Job Purpose: - The Procurement and Logistic Assistant will be responsible for providing technical & logistic support related with the procurement and logistics activities required by the project. This position holder will be working closely with the organization’s Operation, Finance, and Program Team to run the effective operations. 

Key Responsibilities

  • Take lead sourcing and purchasing goods and services of the projects. 
  • Track office inventory and office equipment, furniture and fixture.
  • Maintain vendor/supplier relationships in local context and manage contract and effectively communicate with vendors, team members, and stakeholders.
  • Ensure receiving of goods from suppliers and record it up to date as per the organizational protocol
  • Ensure procurement of goods is in high quality, timely and cost-effective adhering to established policy of the organization.
  • Ensure market survey annual basis for regular items and analyse the price trend over the period and report to line manager.
  • Support to Logistic and Procurement Officer to develop Annual Procurement and Supply Management (PSM) Plan and Consolidate and analysis of the procurement plan and finalize the framework agreement as per requirement of different categories.
  • Work closely with Admin and Finance Officer to ensure smooth operation of project logistic and administrative matters in accordance with RDC Nepal compliance and applicable donor rules and regulations.
  • provide support towards maintaining efficient operation of the office, staff travel management, procurement/asset management, administrative management maintaining appropriate filing systems at all levels of work.
  • Organize, document, and archive relevant documentation, keep files complete and up to date and maintain quality and accessibility of archive and files.
  • Responsible for vehicles management in accordance with vehicle operating guideline. Take overall responsibility with regards to vehicle use, maintenance and record keeping.
  • Utilize procurement software if available or manual and tools for tracking and reporting and ensure data accuracy and confidentiality.
  • Ensuring adherence to procurement and logistics regulations and policies.   
  • Managing procurement costs and identifying opportunities for savings.
  • Identifying and mitigating risks associated with procurement and logistics.   
  • Preparing reports on procurement and logistics activities and performance.
  • Any other duties as assigned by supervisor.
