Job Overview:

We are looking for a detail-oriented, proactive, and organized Office Administrator to join our team. The successful candidate will play a key role in ensuring the smooth day-to-day operations of the office, handling administrative duties, managing office supplies, and supporting various departments to achieve operational efficiency.

Key Responsibilities:

  • Administrative Support: Provide general administrative support to office staff and management, including handling phone calls, emails, scheduling appointments, and managing calendars.

  • Office Management: Oversee office supplies and inventory, ensuring that stock levels are maintained and ordering new items as needed. Manage office maintenance and coordinate any repairs or improvements.

  • Document Management: Handle filing and organization of documents, ensuring they are easily accessible and up-to-date. Assist with document preparation, copying, scanning, and archiving.

  • Data Entry & Record Keeping: Enter and maintain accurate data in systems, spreadsheets, and other platforms. Assist with the preparation of reports and presentations when required.

  • Reception & Client Interaction: Greet and direct visitors, ensuring a professional and welcoming environment. Answer inquiries and direct them to the appropriate department or individual.

  • Travel & Event Coordination: Assist with booking travel arrangements for staff members and coordinate company events, meetings, and conferences.

  • Financial Administration: Assist in basic accounting tasks such as processing invoices, managing petty cash, and maintaining records of office expenses.

  • Compliance & Safety: Ensure that office procedures comply with legal, health, and safety regulations. Maintain a clean and safe office environment.

  • Ad Hoc Tasks: Provide support to other departments as needed, handling any other tasks or projects as directed by management.

Qualifications:

  • High school diploma or equivalent; a college degree in Business Administration or a related field is a plus.
  • Proven experience in an office administration role or related field.
  • Strong organizational and multitasking skills.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and basic office equipment (printers, fax machines, etc.).
  • Ability to work independently and as part of a team.
  • Strong attention to detail and problem-solving abilities.
  • A positive, friendly attitude and the ability to manage a variety of tasks simultaneously.
