Summary of Position

Job title: Mentorship Program Assistant

Function / Unit: Program, Admin and Logistic/Nepal Country Office

Place of Assignment: Country Office, Kathmandu, Nepal

Position is: 01.01.2025 – 31.12.2025 (with possibility of extension)

Supervisor: Mentorship and Private Sector Engagement Coordinator

Other reporting responsibilities and internal cooperation parties:

FCA Nepal Country Office (NEPCO) Senior Management Team (SMT), Program Team, Finance & Admin Team, as well as interactions with stakeholders, partner, suppliers/vendors, guests, and visitors as an external.

Primary Purpose of the Position:

The Mentorship Program Assistant, reporting directly to the Mentorship and Private Sector Engagement Coordinator and working closely with the Admin and Logistics Officer, will be responsible for support the effective implementation of the Mentorship Program. This includes facilitating smooth operational processes and providing support in project management, communication, administration, logistics, and procurement. Additionally, the position holder is expected to assist with other operational tasks as required.

Description

Main Tasks

Project Implementation

  • Assist in coordinating and implementing the Mentorship Program to meet project objectives.
  • Support mentor-mentee matching by coordinating communications and providing necessary resources.
  • Help to organize orientation sessions for mentors and kick-off workshops for participants and assist in planning in-person retreats and workshops focused on entrepreneurship and cross-learning.
  • Provide support in facilitating connections, providing resources, organizing events, and offering guidance to the alumni network, ensuring continued mentorship and guidance for new participants.
  • Help expand the alumni network to maintain its relevance and sustainability.
  • Assist in documenting program learnings and best practices for stakeholder access.
  • Assist in identifying and engaging private sector partners, collaborate with the Mentorship and Private Sector Coordinator to ensure the timely execution of activities, and provide support in preparing and distributing program materials and communications to relevant stakeholders.
  • Assist in developing content for learnings materials, best practices, newsletter, blogs, social media posts and ideas from the program and collaborate with Communication Officer to develop the final products and disseminate through social media, networks and other means to wider stakeholder and audiences 
  • Collaborate with the FCA communication team to ensure social media content aligns with the organization’s communication strategies.

Project Operations

  • Assist in organizing events, in-person retreats, gatherings, and workshops focusing on technical themes related to entrepreneurship, promoting cross-learning among participants.
  • Provide administrative assistance to the Mentorship Program, including scheduling meetings, managing calendars, and preparing reports.
  • Ensure proper documentation and filing of program-related materials for reporting and auditing purposes.
  • Provide administrative and logistical support for 1-on-1 coaching sessions between mentors and mentees, ensuring smooth scheduling and facilitation.
  • Ensure smooth day-to-day operations, including organizing transportation, accommodation, and other support for program activities.
  • Collaborate with the Admin and Logistics Officer to ensure timely execution of support activities.
  • Support the procurement of goods and services by collaborating with the Finance and Admin Team, ensuring adherence to organizational policies.
  • Manage supplier and vendor relationships to ensure timely delivery of materials and services required for the program.
  • Provide support in operational tasks as needed.

Monitoring and Reporting

  • Support the collection and analysis of data for program monitoring and evaluation.
  • Assist in preparing periodic reports on the status and outcomes of program activities for internal and external stakeholders.

Internal Collaboration and Reporting

  • Collaborate closely with the Country Office team to provide updates on program progress and operational needs.
  • Coordinate with the Finance and Admin Team to ensure timely settlement of project expenditures and advances, monitor budget availability, and align procurement activities with project plans.
  • Support the establishment and maintenance of positive working relationships both internally and externally to achieve the organization's goals.

External Stakeholder Management

  • Serve as a point of contact for project suppliers/vendors, guests, and visitors, ensuring a professional and smooth interaction.
  • Facilitate communication between external stakeholders and internal teams to address queries and ensure effective program execution.

Special Tasks

Competence, Experience, Skills, Knowledge Needed 

  • Bachelor’s degree in business administration, social sciences, or a related field.
  • At least 3 years of experience in program support, administration, or logistics is preferred.
  • Strong communication and interpersonal skills.
  • Excellent organizational skills and attention to detail.
  • Proficiency in using office software and online collaboration tools.
  • Understanding of crosscutting issues like Gender Equality and Social Inclusion (GESI), Do No Harm and conflict sensitivity.
  • Strong organizational and time management skills.
  • Good Knowledge and Skills of written and spoken English will be an advantage. Excellent IT skills on MS office package such as Word, Excel is required.

Responsibilities and Independence (please choose the most suitable option)

  • Problem solution is based on experience, combining different factors. Work is done according to task-related and general instructions. 
  • Problem solution requires selecting independently between different methods. Work is mainly done according to general instructions, and it may include fact-finding and group responsibility.

Interaction Needed

  • Interaction within the FCA Country Team and external stakeholders, i.e. suppliers/vendors, partners, FCA’s guests from SAC and other offices is required

Substitution and Representation

  • Represent FCA in relevant external forum as assigned by line manager.
