Job description (JD) for Logistic Assistant/ Officer 

Job Summary: 

Under the overall supervision of Project Coordinator and direct supervision of the admin & finance Officer, the Logistic Assistant/Officer  will work & liaise closely with Sundar Nepal Sanstha Operations, Finance and compliance team with regard to the full implementation of standard Sundar Nepal Sanstha policies and procedures in the fields of procurement, logistic, administration and Finance. s/he needs to support Admin & Finance Officer for day-to-day bookkeeping, office administration, procurement, and logistics activities at field and district level.

Major duties and responsibilities:

  • Assist the Admin and Finance Officer in ensuring efficient and effective general administration management.
  • Responsible for managing the supply chain for both medical and non-medical equipment received from funding agencies. This includes transportation, registration, dispatch, obtaining approvals and letters from health posts, and recording and reporting final dispatch documents to the funding agencies.
  • Ensure a well-established and maintained documentation and filing system for office correspondence, administrative documents, and logistics-related records.
  • Coordinate and maintain the stock of stationery and office supplies.
  • Provide support to program staff during program activities at the field and district levels as needed.
  • Assist the Finance and Admin Officer with hotel bookings and fleet management, including vehicle request management, repairs and maintenance, insurance, and renewals for district and field levels.
  • Assist the Finance and Admin Officer with asset and inventory management, ensuring proper record-keeping.
  • Collect procurement plans from program staff and make the necessary arrangements for the procurement of goods and services in line with the plan.
  • Assist the Finance and Admin Officer in maintaining up-to-date procurement files, based on Purchase Requests (PR) and Purchase Orders (PO).
  • Serve as the focal point for the collection and reporting of staff timesheets and leave records.
  • Assist the program team to ensure all required documents and activity codes are properly included when submitting for advance settlement.
  • Handle staff advance deposits and manage all banking transactions (e.g., deposits, withdrawals, letter transfers, etc.).
  • Assist the Admin & Finance Officer in reviewing documentation during the advance settlement process. This may include collecting documents from field-based staff and ensuring timely liquidation of advances in compliance with the organization’s finance policy.

Preferred Requirement

  • Academic Qualification: Bachelor’s Degree in relevant field with Basic computer knowledge.
  • Candidate work previous experience 1 years plus experience of working in the similar field.
  • Ability to work in a team and in a time constraint situation. Good language skills (oral and written) in English and Nepali
