Community Rural Development Society (CRDS) Nepal is a not profit organization. It was established in 2049 .B.S. as a Non-Governmental Organization in Darchula district. This organization works throughout Darchula district and covers programs like Early Grade Reading, TROSA, SUAAHARA and Integrated Community Development Project. Our donors include WFP, WEI, OXFAM, HKI, and GNI Nepal.

Position: Admin and Finance Officer

Required Number: 1

Location: Malikarjun Rural Municipality, Darchula District

Contract Duration: Fixed term until December 2025 (with the possibility of extension)

Background:

Community Rural Development Society (CRDS) Nepal is a non-profit, non-governmental organization established in 2049 B.S. in Darchula district. CRDS Nepal implements programs focused on Early Grade Reading, TROSA, and the Integrated Community Development Project (ICDP) in Darchula district. Integrated Community Development Project (ICDP) focusing on Education, Child Protection, and Social Economy with the technical and financial support of GNI Nepal, in Mahakali Municipality-9 Dattu, Malikarjun Rural Municipality, and Duhun Rural Municipality in Darchula district.

Key Responsibilities:

1. Budget Preparation and Implementation:

  • Develop and manage project budgets, ensuring alignment with financial policies and donor requirements.
  • Monitor and ensure proper utilization of funds in accordance with the approved budget.

2. Procurement and Storekeeping:

  • Oversee procurement processes, including preparation of procurement plans, tendering, and selection of suppliers/vendors.
  • Ensure timely delivery of goods and services, verifying the quality and quantity of items received.
  • Maintain accurate records of inventory and ensure proper storage and safekeeping of project assets and supplies.

3. Administrative Tasks:

  • Manage day-to-day administrative operations, including coordinating meetings, scheduling, and managing office logistics.
  • Supervise and provide administrative support to field staff and community facilitators.
  • Ensure that all project documentation, reports, and records are properly organized and filed.

4. Financial Management and Reporting:

  • Maintain financial accounts, ensuring accurate and timely processing of financial transactions, including payments, reimbursements, and staff advances.
  • Prepare and submit monthly financial reports, including expenditure tracking and budget variance analysis.
  • Upload vouchers and other financial documents onto the organization's OneDrive system for easy access and tracking.

5. Monitoring and Supervision:

  • Monitor the activities of community facilitators and field staff to ensure to project goals, timelines, and financial guidelines.
  • Conduct regular field visits to assess the progress of community activities and provide necessary guidance and support.
  • Review the implementation of the program management system, ensuring effective and efficient project delivery in line with the approved work plan and budget.

6. Progress and Documentation:

  • Prepare and submit monthly progress reports detailing achievements, challenges, and financial updates.
  • Ensure proper documentation and filing of all project-related materials, including receipts, contracts, reports, and communication with stakeholders.

7. Compliance and System Review:

  • Ensure compliance with government regulations, donor requirements, and CRDS Nepal's internal policies and procedures.
  • Participate in regular reviews of the program management system to identify areas of improvement and streamline project operations.
  • Implement a round-robin process for reviewing program management systems, ensuring cross-functional input and collaboration.

8. Training and Capacity Building:

  • Conduct basic bookkeeping and financial management training for community-based network organizations to enhance their financial literacy and reporting skills.
  • Provide ongoing technical assistance and follow-up support to ensure effective implementation of financial and administrative practices.

Qualifications and Experience:

  • Bachelor’s degree (BBS or BBA) with 2 years of experience in finance and administrative work
  • Proficient in MS Excel, MS Word, PowerPoint, and mandatory knowledge of Accounting Software FAMAS
  • Strong teamwork commitment with effective communication skills
  • Leadership abilities and excellent interpersonal skills in both local and national languages
