Introduction:
The postholder is responsible to the BGN HR Head and Quarter Master (Technical) (QM(T)) for day-to-day HR management / administration of all BGP Civilian Staff (CS) in QM(T) matters to ensure BGP carries out its core functions efficiently.

This position is advertised at 37 hours per week.
Job description:
- Handle / Assist new and retiree’s / resignee’s CS documentation procedure. Maintain CS Personal Folders. Provide and update CS Kindred Roll to the HR Office and Medical Centre. Update of subsequent occurrences in individual’s record of supported by documentary evidence and/or authority.
- For new staff, checks must be made for accuracy/authenticity of their personal details including nationality, date of birth, marital status, dependant’s details and police report before offer of employment. Any discrepancies must be brought to the attention of QM(T). Ensure all files, letters, recruitment and promotion documents are sent to the HR Office for record keeping. Ensure each CS provide Clearance Certificate, PF Withdrawal Form and BGN ID Card before their discharge date.
- Ensure that Job Vacancy notice is displayed prominently, collect applications, make calls to selected candidates and inform them about the time and venue for the Interview. Provide relevant documents to the sift and interview board. Arrange medical test for new entry and recruitment process if medically fit. Send all completed documents to the HR Office for record keeping.
- Maintain BGN(P) CS Leave record and distribute quarterly Leave statement to all BGN(P) CS Heads of Department.
- Ensure that Monthly pay slips are distributed to BGN(P) CS on time.
- Collect and check Department’s OT authorities and TOIL records. Ensure Monthly OT claim, on call allowances and substitution pay reaches the HR Office by 12th day of each month.
- Prepare Casual Staffs pay slips. Prepare Casual Labourers contract papers, attendance sheets and pay slips. Assist BGN(P) Priest to prepare paper works on working schedules during Dashain and Tihar (Religious) Festivals.
- Ensure all CS are covered for Dental/Accident insurance and action renewal of cover well before expiry of the policies. Also assist CS for making of Personal Account Number (PAN), Employees Provident Fund (EPF), Citizen Investment Trust (CIT) Cards and Loan processing.
- Any other duties as directed by HR Head and Line Manager.
What you will be doing:
Additional G4 logistics Responsibilities:
- Responsible for monthly checking of invoices and calculate / arrange P1923 for payment action of G4 RACs such as (conservancy, tailoring, minor local purchase, office supplies, fuels, LP gas etc). Also responsible for preparing P1923 of Recruiting bills, various T&S Bills during Recruiting period.
- Raise appropriate charges through AFO 1680B for rent of BGN(P) Canteen, disposal of waste oil and local contractors' tax.
- Deal with routine queries from BGN Contract Cell regarding BGN(P) Contract matters.
- Prepare reports on GC SPF (Singapore) and British Army (BA) recruiting expenditure on (G4 Logistics) and submit to CIVSEC on completion of Recruiting.
- Responsible to hold GORs Quarterly Messing Meeting in liaison with the QM/Messing Officer and the Master Chef and produce/circulate meeting minutes to BGN(P) HODs.
- Assist the CS HR Head/CIVSEC BGN while co-ordinating visit programme of CS Pay Review Team in various local areas.
- Stand in for QM Ch Clk, Ops Manager and QM Clerk during his/her absence.
- Any other duties as directed by HR Head and Line Manager.

You must have:
- Excellent written/ spoken English and Nepali language skills.
- Excellent IT knowledge using MS Office tools (Including Outlook, Excel & Word)
- Proven experience, qualifications, and training is preferable for this role to deliver the job responsibility effectively and efficiently.
- You will be assessed on your English language skills and IT knowledge and skills through a Practical Assessment to qualify for interviews during the sifting and selection process.

Benefits & Working Environment:
Salary 95,534.00 NPR per month (Permanent).
- Gratuity after completing three years of service.
