ChildFund Japan, an international non-profit development organization, has been working in partnership with local NGOs to implement programs in various districts of Nepal since 2006. We invite applications from Nepalese citizens for the following position:
Position: Front Office Assistant (FOA) (1)
Job Description:
The Front Office Assistant (FOA) reports to the Senior Admin and Finance Officer (SAFO) and the Admin and Finance Director (AFD). This position operates at the junior level of the Country Office. Under the supervision of the SAFO, the FOA's tasks and responsibilities are outlined as follows:
Main Task & Responsibilities
- Handle the correspondence (emails, postal service, telephone, etc.) and meet and greet the visitors.
- Manage all aspects of the fleet (fueling, repair/maintenance, verifying logbook(jeep, scooter, bikes) and its annual tax payment, and reporting).
- Timely payment of regular expenses such as electricity, telephones, newspaper, internet, house rent etc.
- Support AFO in collecting quotations and compiling quotations for procurement supplies, fixed assets, and office equipment.
- Ensure smooth connection of internet/email with the provider and contact a technician for maintenance.
- Manage petty cash and Mess management.
- Repair/maintenance of office buildings/premises and fixed assets /office equipment etc.
- Travel arrangements for staff and guests (airport pick-up, hotel, air ticket booking, rental vehicle, bus ticket purchase, etc.).
- Management of the usage of office mobile phones, cameras, and computers by staff and guests.
- Check and update staff attendance sheets and leave records.
- Update the NO and PNGOs staff communication sheet.
- Maintain and update inventory records of office supplies/household goods / janitorial supplies monthly, control its proper usage, and ensure its stock.
- Keep maintenance records of computers/printers/photocopy
- Preparation of a draft NO annual holiday list for the next fiscal year.
- Assist in reviewing JD of Support Staff and drivers for the next year if required.
- Supervise and monitor the work of Support Staff and drivers and develop their capacities in their work.
- Other tasks assigned by Admin and Finance Officer, Senior Admin and Finance Officer and Admin and Finance Director.
Required Qualifications and Skills:
- Intermediate with at least two years’ experience in admin and finance work or a bachelor’s in any field with at least one year of experience is preferable. (Fresh graduates are also encouraged to apply).
- A valid two-wheeler driving license.
- Enthusiastic and quick learner.
- Proficient in computer applications, especially Excel and Word.
- Strong oral and written communication skills in both English and Nepali.
