Job Description of Executive Assistant/Admin Support:

We’re looking for a reliable and detail-oriented Admin Assistant to join our team. This role involves a mix of consistent administrative tasks, process improvement, and occasional smaller projects. The ideal candidate will have experience or familiarity with NDIS processes, working with children in care, and understanding the Department of Communities and Justice (DCJ) system, particularly in relation to children in the care of the Minister. However, we’re happy to provide training to upskill the right candidate.


Key Responsibilities:


Staff Report Management:

•    Review staff reports for grammar and accuracy.

•    Provide constructive feedback to improve report quality, ensuring alignment with client goals and all required areas.

•    Document and track any late reports.

•    Email finalised reports to client care teams via established email threads.


Client Reporting:

•    Compile and email quarterly report summaries for social services clients to care teams.

•    Prepare term summaries for EDG Squad or MTM programs, including collating students’ artwork (a designer has created a template for these reports). Send these to school principals and other relevant contacts.


Documentation and Compliance:

•    Ensure staff documentation is up-to-date (e.g., First Aid, car insurance, 100 points of ID). Maintain and update the existing spreadsheet as needed.


Roster and Communication:

•    Send roster reminders and confirm mentoring schedules with staff and clients fortnightly (via Telegram and email).

•    Conduct regular mental health check-ins with staff via email.


Process Management:

•    Support the onboarding process for new staff by providing training and emailing required documents.

•    Complete an annual self-audit of processes.


Preferred Skills and Experience:

•    Familiarity with NDIS processes and reporting requirements.

•    Understanding of the needs of children in care, particularly those under the Department of Communities and Justice (DCJ).

•    Experience working with or supporting children in the care of the Minister is a strong advantage.
