Details / requirements:
- Plan meetings and take detailed minutes
- Write and distribute emails, correspondence memos, faxes and forms.
- Organise and maintain electronic and physical documents
- Update and maintain offices policies and procedures
- Organize and manage event planning
- Administers calendars for Leaders by supporting with their scheduling through assessment of meeting invitations
- Process purchase orders, check requests, employee reimbursements and petty cash vouchers as needed
- Frequently interacts with upper management within and outside their workgroup, external clients
- Administers calendars for Executives by supporting with their scheduling through assessment of meeting invitations
- Provide a full Personal Assistance and administrative service to the whole team within the organisation.
- Completes operational requirements by scheduling and assigning administrative projects and expediting work results.
- Makes travel arrangements for senior staff such as booking flights, cars, and hotel or restaurant reservations.
- Exhibits polite and professional communication via phone, e-mail, and mail.
- Supports the team by performing tasks related to organisation and strong communication.
- Develops administrative staff by providing information, educational opportunities, and experiential growth opportunities.
- Coordinate executive calendars and schedule meetings.
- Conduct research and prepare.
- Should be able to perform both ddministrative and clerical procedures
- Must be able to replemails, make and receive phone calls
- Should have knowledge regarding Microsoft word, Excel and PowerPoint, Microsoft applications
- Banking operations, Up-to date knowledge on NDIS standards, quality indicators and changes.
- Keeping record and reports of staff training, licence, workshops and checks.
- Willing to get trained about software systems applied within Lotus Embrace.
