Call for Expression of Interest (EOI) for Multimedia Designing Services

CALL FOR EXPRESSION OF INTEREST FOR MULTIMEDIA DESIGNING SERVICES 

BACKDROP

The International Foundation for Electoral Systems (IFES) is an international NGO dedicated to supporting the establishment of democratic societies worldwide. For over two decades, IFES has been assisting in the implementation of inclusive elections in Nepal, collaborating with the Election Commission of Nepal, civil society organizations, and other electoral stakeholders to strengthen the country’s electoral and democratic processes. IFES is currently implementing the Democratic Processes Project with support from USAID, aiming to enhance citizen participation in electoral and democratic processes and foster a more democratic, inclusive, and resilient society that delivers for all.

On a regular basis, IFES produces various communication products to support the program. IFES seeks to establish Blanket Ordering Agreements (BOA) with multimedia agencies specializing in videography, photography, animation, video editing and designing.

OBJECTIVES

The purpose of hiring multimedia agencies is to gather or develop compelling videos, photos, animations and designs that capture IFES’s program interventions and their impact on building a resilient and inclusive democracy that delivers for all. 

REQUIREMENTS

• At least five years of experience in conducting similar activities with a proven track record of satisfactory outputs.

• Ability to generate creative ideas for videography, photography, animations, video editing and designs with minimal supervision and under tight deadlines.

• Strong teamwork skills and flexibility regarding timeframes and ideas.

• Creativity and a willingness to explore new trends and ideas.

• Strict adherence to IFES’s and USAID’s communications guidelines (e.g., typography, color codes, logo placement, style, etc.).

• The service provider must obtain informed consent before capturing photos, videos, and stories of any individual.

• Possession of advanced photography and videography equipment, including cameras, lights, lapel mics, tripods, etc.

• Proficiency in using videography and photography equipment, as well as post-production software such as Adobe Premiere Pro, Adobe After Effects, Adobe Animate, Corel VideoStudio, Adobe Lightroom, etc.

• Proficiency in using designing software including Adobe InDesign, Photoshop, Illustrator and Fresco.

KEY DELIVERABLES

As needed, the multimedia agency must deliver high-quality video footage, photos, animations, edited videos and designs within the specified timeframe. The service provider must supply both RAW/working files and final products to IFES Nepal upon completion of any assignment.

LINE MANAGEMENT

IFES Nepal’s communications team will oversee the tasks.

ARRANGEMENT FOR PAYMENT

Payments will be made upon satisfactory completion of the agreed-upon deliverables. Multimedia agencies are required to submit invoices to receive payment.

TIMEFRAME

The assignment timeframe ranges from one day to several weeks, depending on the task.

DOCUMENTS REQUIRED

The multimedia agency should provide the following documents: 

A. Qualifications of the Service Provider (Experience)

The service provider must explain why they are the best entity to deliver the requirements, including:

i. A company profile describing the nature of work done and field of expertise.

ii. Business licenses including company and VAT/PAN registration certificates.

iii. A list of clients for similar services, including product descriptions and contact references.

B. Qualifications of Key Personnel (Technical)

The service provider must provide:

i. Names and qualifications of key personnel who will perform the services, including the Team Leader and other members.

ii. Curriculum Vitae (CV) demonstrating qualifications, experience, and involvement in past projects (extent and responsibility of involvement must be detailed).

C. Cost Breakdown Per Deliverable (Financial)

1. Videography (The proposed cost must include costs of equipment and post-production (light/color corrections, trimming unnecessary sections and subtitling in English or Nepal or both))

CODE OF CONDUCT AND POLICIES

During the agreement, the service provider must sign and strictly adhere to IFES Nepal’s Code of Conduct and necessary policies.

COPYRIGHT

All creative assets produced through the agreement will be the sole property of IFES Nepal, and the copyright will be retained by IFES Nepal.
