Job Title: Assistant Finance Officer (AFO)

Reports to: Sr. Finance Officer (SFO)

Based: Kathmandu with some travel to working areas as necessary.

Location: RHEST's Head Office, Bishalnagar, Kathmandu,

Duration: 1 year will possibility of extension

Salary and benefits: Not less than NPR 32K per month in gross.

Role Overview

The Assistant Finance Officer (AFO) will support in the management and oversight of basic financial functions and compliance with RHEST policy, donor compliance, legal and statutory compliance. Working closely with the Finance Team, they will help advance the organization's mission to stop girls trafficking through education, health, and awareness programs.

Responsibilities

The responsibility of the Assistant Finance Officer (AFO) includes, but not limited to the following-

  • Responsible for overall accounting, book-keeping all accounting transactions in FAMAS software, prepare monthly cash ow, maintaining monthly and end-of the year accounts and assist to prepare accurate financial reports on a regular basis.
  • Ensure compliance of financial policy, procedures; maintain proper documentation of financial transactions, process payrolls and bank related works, settle expenses and bills.
  • Timely deposit of TDS to tax office in proper revenue heading, salary including CIT, PF to banks.
  • Ensure & review financial documents prepared by the partner NGOs on monthly basis.
  • Maintain confidentiality within and outside the organization in terms of financial matters and as specified by higher authority.
  • Ensures all payments to vendors with proper supporting documents after getting approval from the concerned authority.
  • Assist to procure office goods, equipment, stationery, materials, and others required for projects, and update the suppliers’/service providers’ roasters annually.
  • Prepare reconciliation of cash on daily basis and bank statement on monthly basis.
  • Carry out other duties that will be assigned by the supervisor

Essential Knowledge, Skills and Experience

  • Bachelor, business studies, management or relevant.
  • At least 3 years of relevant experience in finance related functions.
  • Knowledge in working on Excel spreadsheet.
  • Very good communication skills including the ability to write well in English and Nepali.
  • Highest standards of integrity, discretion, and loyalty.
  • Good interpersonal skills.

Responsibilities

The responsibility of the Finance Assistant includes, but not limited to the following-

  • Maintain and organize financial transaction documents. Ensure that all supporting documents are properly filed and easily retrievable for audit purposes.
  • Support in entries to the accounting software ensuring correct Project and Donor codes as per the budget availability and RHEST Chart of Accounts.
  • Assist Senior Finance Officer to handle the cash and bank payment process in time.
  • Assist the Senior Finance Officer in the preparation of monthly financial reports and month-end documents.
  • Provide timely and accurate procedural support on advance payments and settlements to the staff.
  • Ensure that the supporting documents are appropriate, and expenses are in compliance with RHEST procurement/finance policies and donor policies.
  • Travel to field as per requirement to support and coordinate on field payments and have proper invoices/receipts and supporting documents are obtained.
  • Support in preparing bank reconciliations to ensure accuracy and completeness of financial records.
  • Carry out other duties that will be assigned by the supervisor

Job Title: MIS Assistant

Responsible to: Sr. MIS Officer

Based: Kathmandu with some travel to working areas as necessary.

Location: RHEST's Head Office, Bishalnagar, Kathmandu,

Duration: 1 year will possibility of extension

Salary and benefits: Not less than 26.8 K per month in gross.

Responsibilities

The responsibility of the MIS Assistant includes, but not limited to the following-

Data Collection:

Develop various Microsoft reporting forms, test the tools, and implement them. This involves gathering data from various sources, programs, surveys, and secondary resources. Ensure timely and high-quality data collection, which requires rigorous follow-up with various stakeholders.

Data Cleaning:

Identify and correct errors or inconsistencies in the data. It includes removing duplicate entries, correcting misspellings, and standardizing data with the coordination of the admin/program/finance team.

Data Analysis:

Examine the data to uncover patterns, trends, and insights. It includes utilizing basic statistical methods, data visualization techniques, and other tools to interpret the data. The process also involves creating data reports, dashboards, or visualizations to summarize the findings.

Data Maintenance/Storage:

Maintain data to ensure its accuracy and reliability. This involves monitoring data quality, updating the database as necessary, and ensuring that data remains secure and accessible.

Other:

Provide support to the supervisor and admin/finance/program team by assisting with any additional tasks that are assigned.

Essential Knowledge, Skills and Experience

  • At least intermediate level in the relevant field. A bachelor’s in information technology will be an added advantage.
  • At least a year of experience in data management in a related field.
  • Skilled in advanced Excel techniques and functions.
  • Adequate in Microsoft Office 365 including Microsoft form and power automate.
  • Adequate in cloud computing, software installation, security, and applying patches.
  • Ability to organize and manage large amounts of data.
