Admin, Finance and Liaison Officer

Duty StationDMI Pvt. Ltd. Office Kathmandu, Nepal with occasional travel outside Kathmandu

Duration:  Six months (with possibility of extension to longer term)

Position reports to: Chief Executive Officer

 

Background

DMI Pvt. Ltd., Development Management Institute, Private Limited, based in Kathmandu, was established in 2003 under the Company Act of Nepal to facilitate the management development of all programs and activities of public and private institutions. It has been actively working for private, and public institutions including NGOs in research & studies, training & workshops, project planning, monitoring & evaluation, and policy formulation to enhance their governance system and managerial capabilities. DMI strives to build the management framework, structure, process, system, corporate culture, and social values. Moreover, DMI helps empower the human resources working in the organization by enhancing their management skills and decision-making capacity. DMI carries out various research and study, policy formulation support, seminars, workshops, training, and brainstorming sessions on the contemporary thematic areas of the development field and holds policy dialogues with the government and non-government agencies.

 Summary of Primary Duties

The Admin, Finance and Liaison Officer will be responsible to manage administrative matters, administer the finance of the company and liaise with different government, non-government organizations as well as development partners in close supervision of the Chief Executive Officer.

 

Essential Duties:

    Administration/Logistic

  • Responsible for day-to-day administration of the company, which includes preparation & management of official documents, correspondence, and reports as per need.

  • Organize the company’s board meetings and relevant meetings and workshops.

  • Responsible for preparing employment contracts and providing logistics support including staff movement, equipment management, vehicle hiring, and air-ticketing.

  • Lead the procurement of materials and equipment as per need and supply them to the field offices according to the procurement policy of the company.

  • Prepare fixed assets record and proper coding with verification, and prepare an annual report of assets as per company rules.

  • Provide administrative support for procurement, property management, logistics, insurance, security, and personnel management of the Company.

  • Responsible for any repairs and maintenance of assets, work and safety measures for personnel, and maintenance of premises at the Company office.

  • Establish proper communication among stakeholders and company board members with close guidance from the Chief Executive Officer.

 

    Finance

  • Is responsible for the day-to-day financial management of the Company including making payments for approved procurement, fund transfers, and, other payments.

  • Processing vouchers, coding, checking calculations, and, entering vouchers and ledgers.

  • Prepare financial reports and collect the bank statements to prepare the bank reconciliation statement, balance sheet, profit and loss statement, and other related documents for the audit process.

  • Is responsible for the proper deduction, calculation, and payment of all the taxes, staff salaries, provident fund, Gratuity, and other payments as per the Government of Nepal rules and regulations.

  • Manages the company's petty cashbox and ensures timely reconciliations and replenishment.

  • Is responsible for the management of annual auditing and tax clearance from respective government entities.

  • Any other finance-related tasks of the company

   

    Liaison

  • Coordinates with federal and provincial ministries, departments, and, relevant government entities for organizing high-level meeting and conferences at the federal and provincial level.

  • Liaise with various central-level authorities of the Government of Nepal, Development agencies, Embassies, NGOs, INGOs, and, public and private agencies.

  • Facilitates visas and work permit obtainment process for expatriate experts working in Nepal.

    

Qualification:

  • Bachelor’s degree in business studies, management, or relevant field with 5 years of relevant work experience.

  • Knowledge of existing financial rules and regulations including taxation and auditing.

  • Experience with bilateral projects is preferred.

  • Knowledge of local labor law and/or legal regulations on labor is preferred.

  • Excellent verbal and written communication skills in both Nepali and English languages.

  • Advanced computer literacy with e-mail, word processing, spreadsheet, and, presentation skills.

  • Commitment to values and organizational skills.
