Position: Admin Assistant - 1

Summary:

This is a key position for the operational functions of Samunnati and CSSP Project in CDANF Office, Bardibas. The purpose of this position to work closely with Admin Officer/Coordinator & Logistic Officer to manage the administrative functions for the office so as to provide an effective, efficient and timely administrative support to the response programme, coordinating with the various departments. Furthermore, this position is responsible to event management, Fleet/transport and assets management and accommodation.

Key Roles and Responsibilities: 

  • Implementation of Organization's internal office admin policies, systems and procedures within the Office.
  • Preparation of quarterly and monthly PR plan,
  • Work closely with Logistic Officer to provide administration/logistic support to office staff
  • Assist in ensuring compliance with statutory legal requirements including securing legal and other documentations.
  • Timely delivery of administrative services and general office upkeep and maintenance.
  • Conduct regular inventory of office supplies.
  • Responsible for office insurance, if need to be.
  • Ensures the conduct of regular inventory of office.
  • Manage sitting arrangement; utilities and other required works in coordination with logistics coordinator.
  • Provide quality support in terms of office management and regular required day to day services.
  • Work with Logistics to ensure a co-ordinate service to all staff and visitors.
  • Implement the most effective system and procedures on accommodation and travel arrangements and recommends improvements thereof
  • Responsible for lease and contract management of office
  • Responsible for providing quality support to staff on travel related matters.
  • Daily fleet management and assessment of vehicle requirements. 
  • Implements Organizations Policies to office transport activities.
  • Prepare inventory movement documents such as GRN, Waybill, Bin card etc
  • Support to logistics Officer for procurement related works, warehouse stock management, responsible for dispatch on the basis of stock request, maintain and share the Stock report on fortnightly basis, maintain GRN and Bin card
  • Assist to produce supply chain report, semi-annual reports and annual reports and donor report on monthly/quarterly and annual basis,
  • Maintain close relation with other project teams for effective implementation of procurement,
  • Represent in meeting, seminars, training, workshop and interaction program in local level governments as and when required.

Others

  • Strong written and spoken English and Nepali language skills.
  • Basic computer skills with experience in word processing, Excel sheet, Power Point, Email and Internet.
  • Good interpersonal and communication skills
  • Ability to work accurately with close attention to detail, and to meet deadlines.
  • Ability to keep sensitive information confidential.
  • Knowledge in managed outgoing and incoming mail/letter
  • Having valid driving license and personal bike/scooter.

Skills and Competencies:

  • Education-At least Intermediate in relevant subject or equivalent 
  • Written and verbal communications in English and Nepali
  • At least one year of experience in Admin management.

Offered Salary: As per program scale
