Background
Children as Zones of Peace (CZOP) is a national coalition of organizations working in the field of child rights that was formed in 2003 as a loose network in order to undertake collective advocacy to coordinate and integrate the efforts for protection and promotion of the rights of the children affected from armed conflict. Currently, it has ninety-seven member organizations representing all seven provinces, where National Human Rights Commission, UNICEF and Nepal Red Cross Society are involved as observer members. CZOP was registered at District Administration Office, affiliated to Social Welfare Council.
Since the beginning, CZOP has been emerged as a continuous movement advocating for children’s basic rights during and after armed-conflict. Institutionalizing its efforts of advocacy, this coalition has been forged to magnify and strengthen declaring Children and Schools as Zones of Peace and urge all the stakeholders including Government and Non-Government Institutions to fulfil their obligations towards children in a strong, united, neutral and effective manner.
CZOP seeks application from interested candidates for the following positions to fulfil given responsibilities
1. Job title: Admin and Finance Officer
Duty station: Kathmandu (with necessary travel to provinces/districts)
CONTRACT LENGTH: September 2025 (possible extension)
Duties and Responsibilities
Admin and Finance Officer will work under close and direct supervision of Program Manager. The specific duties and responsibilities of the AFO include, but are not limited to, the following:
- Lead the overall administrative and financial activities of CZOP
- Prepare Monthly and Quarterly Financial Statements required for donor/funding agencies ensuring whether the expenditure is in line with the approved budget breakdown and accounting principles
- Prepare, report and ensure the financial transactions, payments and procurements held as per organization policy and government regulations
- Verify the monthly or quarterly reconciliation report of bank account and expenditure for the reporting period
- Develop necessary reporting formats for having sound finance management of organization in consultation to the Program Manager and Board for its implementation.
- Ensure annual planning, periodic review and timely reporting of the projects and organizational activities
- Arrange administrative supports for the program operation and CZOP campaign as assigned by the Coordinator and executive board.
- Assist the executive board, treasurer and the Program Manager in preparing the annual budgets of CZOP and its projects
- Maintain daily record of all financial transactions of the CZOP
- Prepare financial forecasting, budgeting, and cash flow of CZOP projects.
- Prepare and submit the organizational financial report to the Program Manager and Executive Board semiannually and before General Assembly.
- Maintain custody and control of CZOP cash funds.
- Conduct weekly/month-end cash count or as required.
- Conduct day to day data entries (Bank & Cash) into Accounting Software FAMAS, ensuring data accuracy and compliance with applicable policies and guidelines.
- Prepare SSF and Tax reconciliation, and ensure timely deposits with respective authorities. Assist in the timely deposition of CIT, SSF, and Tax monthly, adhering to government regulations, including E-TDS verification.
- Manage office operations, supplies, and assets.
- Maintain proper documentation and filing systems for both financial and administrative records.
- Coordinate logistics for meetings, workshops, and events.
- Support human resources in recruitment, onboarding, and staff record maintenance.
- Ensure compliance with financial policies, donor requirements, and statutory laws.
- Prepare and submit periodic financial reports to management and donors.
- Assist in internal and external audits.
- Provide continuous support and guidance to the Assistant Finance/Admin (AFA) to enhance their skills and knowledge.
- Perform other related duties as assigned.
Core Competencies
- Excellent written and verbal skills in English and Nepali,
- Demonstrated proficiency in computer applications including financial software use of Microsoft Office tools
- Ability to collaborate at different levels in the organization
- Ability to work independently and as an active team player, should be self-motivated and have a high level of integrity and honesty
- Willing to work under pressure, creative and innovative with decision-making and problem solving
Qualification, Required Skills and Experience
- Education: Bachelor’s Degree in Business administration and finance management related fields (Masters preferred)
- Experience: At least 3 years of working experience administration and finance management in NGO sector (preference will be given to those having work experience in INGO sector)
- Language Proficiency: Good spoken and written English and Nepali language
- Communication: Excellent inter-personal communication skills and learning attitude
- Computer proficiency: Ability to use basic MS Word, MS Excel, Power Point, and FAMAS accounting software
Line management
The above mentioned job holder will report to the Program Manager and be line managed primarily by the Program Manager and then by the General Secretary of the Executive Board.
