Good Neighbors Nepal(GNN) is a national NGO working in Nepal since 2002 with the objective of improving the lives of people, especially community through education, livelihood activities, health services, WASH, advocacy, network building, Open Defecation Free Campaign and disaster risk reduction. GNN has so far covered 14 districts of the country through its 20 Community Development Projects (CDPs) and The improvement Agriculture Products for Poor Households in Sindhupalchowk and Gorkha District Out of those 20 CDPs, two have completed more than ten years, five have completed five years each, and the others are ongoing for less than five years each.

Admin and Finance Assistant, based in Kathmandu 

Good Neighbours Nepal-GNN is a non-governmental organization, established in 2002 at Kathmandu, Nepal with the aim of transforming the community for the sustainable development holistically. The major areas of interventions are Livelihood, Health, Gender, Equality & Social Inclusion, Sanitation & WASH, Education, Network building and partnerships, Emergency response, and Advocacy.

This position will be responsible for providing support and coaching to Good Neighbours Nepal to ensure adherence to required compliance standards, including payment and disbursement processes, procurement reviews, and monitoring and reporting in alignment with established tools. The role will involve at least 40% field visits to project locations, with a key focus on ensuring stewardship, accountability, and transparency within the Finance and Supply Chain Management (SCM) sectors

Major Responsibilities

  • Receive incoming Purchase Requisitions for admin related expenses that are under Contract and/or does not require sourcing interventions such rent, water, electricity, ticketing, kitchen supplies, hotel booking and other similar requests.
  • Manage office administrative functions (i.e. office utilities, insurance, vehicles tax renewal process, leave record and inventory management etc.)
  • Ensure effective management of office premises and good facility management.
  • Receive documents hand over by staff and responsible party and maintain a register for all incoming and outgoing documents.
  • Quality front services to all Good Neighbours Nepal staff and visitors.
  • Support supply chain in collecting quotation and maintain the records.
  • Coordinate and facilitate events/workshops/accommodation.
  • Receive Supplies in Good Neighbours Nepal warehouse after requester verifies the goods as per required specifications. Ensure that all commodities arriving at any given point, warehouse, and/or distribution centers are properly accounted for. Prepare, stamp/sign and file each document Goods Receipt Note/ similar documents.
  • Ensure office assets are verified, reviewed, and reconciled.
  • Monthly files are kept in a designated place.
  • The entire relevant documents are approved and verified in time before filing
  • Retain all documents are stored as per audit standards.
  • Increasing demonstration and understanding of and commitment to GNN core value in approach to work and relationship.
  • Performance review completed and development goal achieved.
  • Participate in relevant trainings, take initiation in self-learning and growth.

Requirements Include:

Required Professional Experience

  • At least one year’s experience in the administrative and logistic field.
  • Admin, Procurement, Finance, Security policies and procedures, etc.
  • Strong negotiation, interpersonal skills, organizational, administrative, and facilitation skills
  • Strong knowledge of Procure-to-Pay processes

Required education, training, license, registration and certification

  • Bachelor's degree qualification in management, business administration, or related area
  • Give more priority for two-wheeler 

Preferred Knowledge and Qualifications

  • Basic principles of administration, Logistic management.
  • Excellent computer skills (MS office application-MS Word/Excel/Power Point/Internet etc
  • Good command of English & Nepali languages (written & spoken)
  • Able to articulate and communicate ideas well verbally and in writing
  • Practical knowledge of administration, assets, and stock management
  • Understanding of Good Neighbours and Supply Chain System & procedures
